artist retreats and workshops

Heartful Retreats was first established in Bellingham, WA in early 2015.

Our central location offers convenient access to many popular culture sites in beautiful Skagit Valley and the San Juan Islands. Explore the thriving artist communities of Bellingham, Bow-Edison and LaConner and our region's quaint farm-to-table lifestyle in lavish indulgence.

Deposit Requirement and Payment Options

A non-refundable deposit of $250 per person is required to confirm your booking. If your booking is made within 60 days of the start of your event, then the full amount for that event is due at the time of booking. Each event type has a minimum of 4 participants required. Should the 4-person enrollment minimum not be satisfied, all monies received will either be applied to another scheduled event time or returned to you in full. We accept payment either by credit card or check. Credit Card processing is through Square.com, our preferred third party credit card processing gateway vendor. If you would like to pay by check, please submit payment to: Heartful Retreats, 8480 Thompson Beach Rd, Anacortes, WA 98221

Booking Acceptance and Final Payment

Once your booking has been accepted, an emailed invoice will  be sent to you. To confirm your booking with us, please pay the invoice by the requested date. A contract will then exist between us from the date we issue the confirmation invoice. Payment of any remaining balance due for your workshop retreat is due 60 days prior to the start of your event. If this balance is not paid on or before the due date, we reserve the right to treat your booking as cancelled. Most clients make payment with a credit card through Square.com, our preferred third party credit card processing gateway vendor. If you'd like to pay your balance by check, please submit payment to: Heartful Retreats, 8480 Thompson Beach Rd, Anacortes, WA 98221.

Workshop Attendee Cancellation

All cancellations must be received in writing. Cancellations received more than 60 days prior to the start of the workshop are only subject to the loss of the non-refundable $250 deposit. Cancellations made within 60 days of the start of the workshop result in forfeiture of the entire cost of the workshop, unless the scheduled workshop adventure can be re-sold to another traveler. In the event that the workshop adventure is re-sold, we will refund you a full refund, minus a $250 per person administration fee. It’s highly recommended that you purchase trip insurance if you are concerned about the possibility of cancellation. If you choose to leave your booked event prior to the end of your session or elect not to participate in scheduled activities, we are not obliged to make any refunds for unused services.

Trip Insurance

Unexpected illness, family emergencies, and other unplanned situations can arise in life. For these reasons, we highly recommend trip insurance for any workshop event you book with us, and are happy to connect you with a reputable provider of trip insurance at the time of your reservation.

Event Substitution/Replacement

We reserve the right to adjust the itinerary for event days, (non artist-led workshop days) subject to severe weather, natural disasters or external events outside of our control. In the event of substitution, event days will be replaced with an event of similar value, and we will make every attempt to allow the workshop attendee to participate in decisions regarding the replacement activity. We are not responsible for any incidental expenses that you may have incurred as a result of planning for any specific event, including but not limited to special clothing, gear or equipment.

Minimum Age Requirement

Our painting workshops are highly social events, so we try to balance a level of ‘comfort and ease’ that supports generous interaction between fellow guests, who have reached at least their 16th birthday. The minimum age is 21 however for artist-led workshop adventures involving beer and wine-tasting extra-curricular activities. Please check with us to see whether age restrictions might apply to your specific workshop event.

General Health/Mobility Requirements

Workshop events vary in terms of physical activity. On art-making days, you may find yourself standing for long periods of time as you work. The studio is equipped with comfortable furniture to relax in, as well as straight-back chairs for use when working at an easel. On adventure days (non-workshop days), a low to moderate amount of walking is involved. Most transportation takes place by vehicle, with short walking distances to and from specific venues and scenic sites. It is your responsibility to review the details of your artist-led workshop event and confirm with whatever appropriate medical advice, your ability to participate in specific workshop activities. For special accommodations, please contact us to review your specific situation and to confirm that logistics and your particular circumstances can be adequately supported.

Maximum Group Size

Our workshops are limited to a maximum of 8 attendees per session. We will guarantee to conduct a workshop once we have 4 fully paid attendees.

Photos and Marketing

We will provide a consent form upon final booking of your event with us. You have the option to agree or disagree with the use of images taken of you during the workshop for advertising or promotional purposes. If you grant this permission, you grant us a perpetual, royalty-free, irrevocable license to use such images for publicity and promotional purposes.

For the comfort and safety of other guests, pets are not permitted at any artist-led workshop or off-site retreat event.

For the comfort and safety of other guests, firearms - permitted or otherwise, may not be brought to any artist-led workshop or off-site retreat event.

Limitation Of Liability

We contract with a network of companies, local agencies, and individuals to assist in the running of artist-led workshop and event days as agent for these third parties.  Our partners are carefully vetted, but we cannot be held responsible for the acts and omissions of these third parties. To the fullest extent permitted by law:

any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your participation in a workshop event, or any breach of the Booking Conditions, is excluded; you release us and our officers, employees, agents and representatives from any liability and expressly waive any claims you may have against us arising out of or in connection with your participation in a workshop; and any condition or warranty which would otherwise be implied by law into these Booking Conditions (Implied Warranty), is excluded. To the extent an Implied Warranty cannot be excluded, our liability in respect of the Implied Warranty is limited to (in our absolute discretion): (i) the provision of a similar artist-led workshop adventure of equivalent value; or (ii) a refund of the total amount received by us from you in connection with your booking.  Any claim by you is excluded to the extent that it is for indirect or consequential loss, loss of profits or economic loss, however it arises, or for indirect, special, punitive or exemplary damages.

Smoking, Vaping, and Other Recreational Substances

Washington was the tenth state in the country to implement a comprehensive statewide law prohibiting smoking in all restaurants and bars, bowling centers, skating rinks, and non-tribal casinos. The fifth state in the nation to require 100 percent of indoor workplaces to be smoke-free, private residences used to provide childcare, foster care, adult care, or similar social services, and at least 75 percent of the sleeping quarters within a hotel must also comply with this law. The Smoking in Public Places law further prohibits smoking within 25 feet of entrances, exits, windows that open, and ventilation intakes that serve enclosed areas where smoking is prohibited. Accordingly, smoking is not permitted inside the art gallery or studio workshop areas, inside any vehicles used during the workshop, or inside any local artisan studios we might visit.

Conduct Policy

Artist-led workshops are designed to be social, fun, and communal. In that spirit, and per the discretion of Heartful Retreats staff, we reserve the right to require an individual to withdraw from workshop adventure activities if the Tour leader deems his/her act of conduct is detrimental to or incompatible with the interest, harmony, comfort or well-being of any participant, or results in any penalty to the operators.

Right To Change Policies

We reserve the right to amend these policies at our discretion. If an amendment occurs between your booking and your artist-led event, we will notify you of changes via email.
